How it works

Each Excel Loader is a combination of report, maintenance program and analytical tool, three in one. You download existing records, analyze them in Excel, make changes, add new records. Then upload them safely back to QAD. The program quickly scans the spreadsheet data, validating against genuine QAD logic, as if you would enter all of it manually to QAD maintenance program. Comparing to QAD’s CIM Interface

Users who tried QAD CIM Interface, located under manager functions, menu 36.14, know that in order to use CIM load functionality one requires good understanding of how CIM files are structured and processed. In other words, you have to have good technical skills. For that reason end users prepare data for upload and IT folks convert data into CIM format and then perform the upload.

When CIM file has no errors, CIM load process runs smoothly and you indeed gain efficiency. The real challenge begins with error handling, when they occur during 36.14.2 program run. It is close to impossible to locate errors in data file. But even though IT guys can find errors, they are not able to correct it, because they are not owners of the data. They have to pass these errors to business users for correction. Then IT reprocess CIM file once again and find another set of errors… Long story short, the time spent handling CIM errors may be way greater than if user would key in data manually to QAD maintenance screen. Or even worse, there could be cases when CIM load creates garbage records in the database, which could cause problems afterward, unless manually cleaned up.

Because of Sarbanes-Oxley controls, it’s not a good idea to allow end users to run 36.15 menus. Anyone with CIM load access could essentially perform any function in MFG-PRO with the proper format. Additionally, if you still allow CIM menu, you would need to have a separate error-checking program before users attempt the CIM load.

QAD ERP Implementations

Excel Loaders can be extremely useful during QAD Implementations, since large data sets should be loaded and re-loaded to the new system many times. Also it’s a common practice to load master data to CRP (test) database to be able to validate everything first. Then the data get re-loaded into Production database. IT department or QAD consultants normally would perform the upload via QAD CIM interface, which might be costly, takes time and effort as well. Specifically troubleshooting problems occurred during CIM file processing.

With the excel loaders business users do not need IT or help from QAD consultants to massively uploading data sets, nor massively correcting/maintaining them later on. The end users, who are responsible for the data sets can do everything by themselves. Moreover, copying a data set from one database to another is becoming very simple process. Simply download the correct data from one database onto the spreadsheet and upload to another database.

Master Data Synchronization between QAD databases/domains

Another popular application is master data synchronization. Many companies have more than one domain or QAD database and have to synchronizing the data between them for many business reasons. 28.1 Voucher Maintenance.

This Excel form can be used as employee expense submission form or as AP voucher submission form. Anyone in your team, who knows how to open MS Excel file, will be able to submit AP vouchers to your QAD system. (Of course, you’ll need to give them access to the function). It’s designed specifically to help people who knows little to nothing about AP Vouchers to create ones. They can look up supplier number by name and so the program automatically pre-fills in voucher details knowing the historic pattern for this vendor. You change amounts and submit one or many vouchers to QAD one click. If unsure, you can zoom in to 28.13 Supplier Activity and 28.2 Voucher Inquiry at any point of time.

Using the Loader as Expense Submission Form can be as simple as this: Insert a new spreadsheet to the workbook, where you outline a typical sample expense report, so users will be able to copy-paste the sample report data, adjust it and submit right away.

Sample Expense Report can have as many expense lines as required with proper GL Account Sub Cost Center distribution. Add comments to cell ranges, Text boxes, etc, instructing users what to do. Distribute the form or publish it on your network.

All users need to do is to copy-paste sample expense report to the “worksheet”, replace supplier number with their internal vendor (employee) number, adjust the content and submit by clicking on “Upload” button.
