Problems initiating purchasing process in GRS QAD.

Many QAD users initiate purchasing with filling in Purchase Requisition form (PR). From company to company, this can be either a paper fill-in form or MS Word/Excel form. Majority of company’s employees can be purchase requestors. They have to get approvals from their superiors in order to move forward with the purchase. Once requisition is approved, it is forwarded to company buyer, who cuts purchase orders and send it to a vendor.

When requisition processing is done outside of the ERP system, then requestors have a hard time collecting approvals, tracking the status of their PRs, communication, correcting errors, etc. All that may cause delays in the operations and particularly in company’s research and development department. R&D engineers do not appreciate time consuming purchasing procedures.

About a decade ago, QAD introduced Global Requisition Module (GRS), an add-on module designed to initiate purchasing process with multiple-line Purchase Requisitions. The new functionality allowed QAD users generate PRs, it has built in multi-level approval workflow, integrated E-mail notification features.

Some QAD customers use GRS module, having their employees to initiate requisitions from ERP application. However some other still could not see a fit to their situation, because of the following:

All purchase requestors have to be QAD users.

Purchase requestors have to be trained to use QAD GRS menu, because

GRS user interface is somewhat cumbersome and prone to errors if users do not know what they are doing

Poor PR tracking visibility: can’t see PO against approved PR

User can’t attach a supportive document to the Requisition, for example: product specification or quote from a supplier, etc.

Many efforts are done by many vendors in this area to help QAD users improving the requisition process. Today we are offering a web Requisition application, designed not just to address above listed issues, but also to simplify and speed up purchasing process from user’s stand point, eliminating errors and excessive communication.
